Getting Started

What is TrainR?

TrainR is a comprehensive fitness management platform designed specifically for personal trainers, biokineticists, and exercise specialists. It helps you track client body composition, generate progress reports, and manage your fitness business efficiently.

Who is TrainR for?

TrainR is perfect for fitness professionals including personal trainers, biokineticists, exercise physiologists, strength coaches, and any health professional who tracks client body composition and fitness progress.

How do I get started?

Simply click "Get Started" or "Register" to create your account. You'll need to provide your name, professional title (e.g., Trainer, Biokineticist), email, and create a password. Once registered, you can immediately start adding clients and tracking their progress.

Client Management

How do I add clients?

There are two ways to add clients:

  • Client Signup Link: Share your unique invite link with potential clients. They'll fill out a comprehensive intake form with their personal information, health history, and fitness goals.
  • Manual Entry: Add clients directly through your dashboard by clicking "Add New Client" and entering their information yourself.

Where do I find my client signup link?

Your unique client signup link is displayed on your dashboard in the "Client Onboarding" section. Simply copy the link and share it via email, WhatsApp, or any other communication method with your potential clients.

What information do clients provide when signing up?

The client intake form collects comprehensive information including personal details, contact information, medical aid details, health goals, fitness routine, dietary habits, medical history, and a health declaration. This gives you a complete picture of each client's health and fitness status.

Do clients need to create an account?

No! Clients simply fill out the intake form once. They don't need login credentials or access to the platform. You manage all their information and track their progress through your trainer dashboard.

Can I search and filter my client list?

Yes! Your client list is fully searchable. You can quickly find clients by name and view their profiles, measurements, and invoices from one central dashboard.

Body Composition Tracking

What measurements can I track?

TrainR allows you to track comprehensive body composition data including weight, body fat percentage, muscle mass, BMI, and various body measurements (chest, waist, hips, arms, thighs, etc.). You can record as much or as little data as needed for each client.

How do I record measurements?

From any client's profile page, click "Add Measurement" or "Record Measurement" to enter new body composition data. The system automatically tracks the date and allows you to compare progress over time.

Can I see progress over time?

Yes! TrainR provides interactive charts that visualize your client's progress over time. You can view trends in weight, body fat percentage, muscle mass, and other measurements to track their fitness journey.

Reports & Documentation

Can I generate progress reports?

Yes! You can generate professional progress reports for your clients that include their measurements, progress charts, and your professional notes. These reports can be shared with clients or used for documentation purposes.

Can I download reports as PDF?

Yes! All progress reports can be downloaded as professionally formatted PDF documents. This makes it easy to email reports to clients, print them for in-person consultations, or keep them for your records.

Can clients access their reports?

Reports can be generated with shareable links that you can send to your clients, allowing them to view their progress without needing to log in to the platform.

Client Invoicing

Can I invoice my clients through TrainR?

Yes! TrainR includes a full invoicing system (available on the Pro plan). You can create professional invoices for your clients, add line items with descriptions, quantities, and prices, and track payment status — all from your dashboard.

How do I create an invoice?

Navigate to the Invoices section from your dashboard and click "Create Invoice". From there you can:

  • Select a client from your client list
  • Set the issue date and due date
  • Add line items with descriptions, quantities, and unit prices
  • Optionally apply tax rates and discounts
  • Add notes for your client
  • Save as a draft or mark as sent

Can I auto-populate invoices from training sessions?

Yes! When creating an invoice, you can select a billing period and click "Load Training Sessions" to automatically populate the invoice with your client's training sessions from that period. Each session is added as a line item with the date, time, and your hourly rate.

What invoice statuses are available?

Invoices can have the following statuses:

  • Draft: Invoice is being prepared and hasn't been sent yet. Draft invoices can be edited or deleted.
  • Sent: Invoice has been sent to the client and is awaiting payment.
  • Paid: Client has paid the invoice.
  • Overdue: The due date has passed and the invoice is still unpaid.

Can I download invoices as PDF?

Yes! Every invoice can be downloaded as a professionally formatted PDF document. You can share these with your clients via email, WhatsApp, or any other method.

Can I track revenue and outstanding payments?

Yes! The invoices dashboard shows you key financial metrics at a glance, including total revenue collected, outstanding amounts, overdue invoices, and the number of drafts. You can also search and filter invoices by client name, invoice number, or status.

Where do I set my hourly rate?

You can set your hourly rate in your Profile settings. This rate is used when auto-populating invoices from training sessions, so each session line item is automatically priced at your configured rate.

Training Sessions

Can I log training sessions?

Yes! TrainR allows you to record training sessions for your clients, including the date, start time, end time, and session details. These sessions can then be used to automatically generate invoices.

How are training sessions linked to invoices?

When creating an invoice, you can select a date range and load all training sessions for that client within that period. Each session is automatically added as a line item on the invoice, with the duration calculated from the session times and priced at your hourly rate.

Email Notifications

Does TrainR send email notifications?

Yes! TrainR sends branded email notifications for important events, including account verification, password resets, and billing-related communications. All emails are styled with TrainR branding for a professional look.

Will I receive my TrainR subscription invoices by email?

Yes! When your monthly TrainR subscription invoice is generated, it is automatically emailed to you with a PDF attachment. You can also download invoices at any time from the Billing section of your dashboard.

Pricing & Plans

How much does TrainR cost?

TrainR offers two plans:

  • Standard — R450/month: Includes unlimited clients, body composition tracking, progress reports & PDF exports, client self-service portal, and email notifications.
  • Pro — R650/month: Everything in Standard, plus client invoicing & billing, PDF invoice generation, payment tracking & reminders, and branded invoice emails.

Are there any hidden fees?

No! Our pricing is simple and transparent. You pay a flat monthly fee with no setup costs, no per-client charges, and no transaction fees on invoices you send to your clients.

Can I change my plan?

Yes! You can upgrade from Standard to Pro at any time to unlock invoicing features. Contact our support team to make changes to your subscription.

How do I pay for my TrainR subscription?

TrainR generates a monthly invoice for your subscription. You'll receive the invoice by email with a PDF attachment, and you can also view and download all your subscription invoices from the Billing section in your dashboard.

Billing & Subscription

Where can I view my TrainR subscription invoices?

Navigate to the Billing section from your dashboard sidebar. Here you'll see all your subscription invoices, their status (sent or paid), and key stats like total paid and outstanding amounts.

Can I download my subscription invoices?

Yes! Each subscription invoice has a "Download PDF" button that lets you download a professionally formatted PDF for your records or accounting purposes.

What happens if I miss a payment?

If a payment is overdue, you'll see it flagged in your Billing section. We'll also send reminder emails. Please contact support if you need to discuss payment arrangements.

Account & Security

Is my client data secure?

Yes! TrainR takes data security seriously. All data is encrypted and stored securely. Only you can access your clients' information. We follow industry best practices to protect sensitive health and personal information.

Can I update my professional title?

Yes! You can update your professional title (e.g., Trainer, Biokineticist, Exercise Specialist) at any time from your profile page. This title is displayed on your client signup form.

Can multiple trainers use TrainR?

Absolutely! Each trainer creates their own account and manages their own clients independently. Your client data is private and only visible to you.
